Position:
ADMINISTRATIVE ASSISTANT III, ACADEMIC/STUDENT AFFAIRS DIVISION
General Description:
Coordinates office services such as purchasing (FMIS), payroll, records
control, and other administrative activities for the Vice President;
interprets operating policies; exercises independent judgment in
resolution of administrative problems. Supports the development of
budgets and ad-hoc reports. Performs duties of a sensitive and
confidential nature. Provides secretarial support to faculty and
administrative staff, including appointments, correspondence,
manuscripts, grant proposals, data compilation, and filing.

Responsibilities:
Provides
confidential and efficient receptionist and secretarial support to the
Office of the Vice Presidents of Student Affairs and Academic Affairs to
include drafting reports and correspondence, answering the telephone,
scheduling meetings and appointments, greeting visitors and related
duties, Provides documentation of meetings, tracks and provides
follow-up for action items, performs and coordinates special projects as
requested by the Administrative Coordinators, enters purchase requests
into the FMIS System, ensures accuracy of items requiring signature or
approval of the Vice Presidents by reviewing them for typographical
errors, format, and internal inconsistencies. Manages the reception
area, print/copy/fax stations, conference rooms and all other common
areas, office supply ordering and maintenance of supply storage areas,
and perform other tasks as assigned by the Administrative Coordinators
and Vice Presidents. Develops and publishes office reports and
newsletters as needed in collaboration with division staff.
Duties:

Answers telephone, screens callers, relays messages, and greets
visitors.

Opens, sorts, and screens mail. Picks up and delivers materials as
required.

Operates office equipment such as photocopier, fax machine, and
calculator.

Operates personal computer to access e-mail, electronic calendars,
and other basic office support software.
-
Types and transcribes routine correspondence, takes meeting minutes,
and reports from dictation or handwritten copy using personal
computer.

Performs data entry operations.

Assists with maintaining calendar, scheduling appointments and
meeting rooms.
Assists with making routine travel and accommodation arrangements.

Files in alphanumeric order and locates material from files.
-
Assists with special events planning.

Maintains records through filing, retrieval, retention, storage,
compilation, coding, updating and destruction.

Locates and compiles information and formats reports, graphs,
tables, records and other sources of information.

Assembles and categorizes facts and figures for written computation
and calculations.

Maintains and balances petty cash fund, if applicable.
-
Completes various request forms for office supplies and equipment as
directed.

Coordinates and implements office services such as payroll,
purchasing, records control, projects and budget accounting
operations.

Assists and/or participates in the preparation of the budget for a
department and or Division.

Controls expenses and increases productivity to improve budgetary
performance.

Assists with analyzing unit operating practices such as record
keeping systems, forms control, office layout, personnel
requirements, creating new systems or revising established
procedures.

Interprets and communicates operating policies.
-
Coordinates collection and preparation of financial and operations
reports.
-
Participates in the search process by serving on search committee
and conducts departmental orientation of new employees as needed.

Proficient in various software applications, such as spreadsheets,
relational databases, statistical packages, and graphics packages to
assemble, manipulate and/or format data and/or reports.
This

Commensurate with experience. (Salary
is based on a Points Structure)
